Congress Guidelines

Guidelines for the 13th Congress

PROPOSALS MAY BE PRESENTED IN PERSON OR ONLINE

The AIBR Congresses are organized into panels. Participants, rather than the Organizing Committee, submit the proposed panel topics.

  • Proposals (complete panels, individual oral presentations, audiovisual works, posters, workshops, book presentations, and special formats) may be submitted exclusively through the Congress’s online submission system.
  • Each participant may be listed as an author or coauthor on no more than THREE ORAL PRESENTATIONS and TWO PROPOSALS (as an author or coauthor) in any of the other formats accepted by the Congress. If more than FIVE proposals list the same person as an author, the Organizing Committee will contact those concerned and ask them to select which proposal to withdraw. If no response is received, the Organizing Committee will withdraw the last proposal submitted.
  • A person MAY NOT be listed as an author on two presentations within the same panel.
  • The full texts of submissions WILL NOT be required during the Congress.
  • After the Congress concludes, abstracts of the presentations delivered will be published in ARIES, and participants will also have the opportunity to publish the full texts of their presentations (see the information about the ARIES Journal at the end of these Guidelines).
  • The Organizing Committee does not certify legal authorship of submitted works; it will only record the names of the individuals who presented them and registered for the Congress.
  • All authors and coauthors of proposals accepted after evaluation must complete their registration for the 13th Congress by MAY 20, 2027. Otherwise, those proposals will be removed from the Program.

TO COMPLETE REGISTRATION, PARTICIPANTS MUST PAY THE APPLICABLE FEE AND SUBMIT ALL DOCUMENTATION REQUIRED BY THE ORGANIZING COMMITTEE BEFORE THE ESTABLISHED DEADLINE.

  • Much of the interaction between participants and the Congress will take place through the Participant Portal. TO ACCESS THE PORTAL, please use your AIBR/ARIES account with your USERNAME (email address) and PASSWORD.
  • PLEASE ALWAYS USE THE SAME EMAIL ADDRESS FOR ALL CONGRESS-RELATED PROCEDURES (account registration, proposal submission, payment of the registration fee, etc.)
  • Participants are strongly encouraged to pay close attention to style, spelling, writing, technical terminology, and content in submitted abstracts, and to comply with the minimum and maximum word limits because the information submitted, as submitted, will be provided to members of the Scientific Committee for evaluation and will appear in the Congress Program if accepted. No proofreading, verification of personal information, or editorial review of proposal content will be performed. It is therefore essential to carefully check personal information and texts for errors or formatting issues before submission.

Submission Formats

Types of Proposals Accepted

PANELS

Each panel must include at least 4 presentations and no more than 6 presentations (including that of the panel coordinator) addressing a common topic. Panels may last no more than two hours: for example, in a six-person panel, each presenter will be allotted 15 minutes, followed by 30 minutes of discussion.

PANELS MAY, IF THEY WISH, INCLUDE A DISCUSSANT (A PROFESSIONAL WITH EXPERTISE IN THE PANEL’S TOPIC WHO WILL OFFER THEIR PERSPECTIVE AND COMPLEMENT THE PANELISTS’ PRESENTATIONS).

WHEN REGISTERING THE PANEL, THE PANEL COORDINATOR MUST PROVIDE THE NAME OF THE PERSON WHO WILL SERVE IN THIS CAPACITY.

THE DISCUSSANT MAY NOT DELIVER A PRESENTATION IN THE PANEL FOR WHICH THEY SERVE AS DISCUSSANT AND MUST REGISTER FOR THE CONGRESS LIKE ANY OTHER PARTICIPANT. THEY MAY, HOWEVER, PRESENT IN OTHER PANELS.

The panel coordinator (only one coordinator is permitted per panel) must enter the panel’s shared information in the designated proposal submission form: a title, an abstract of at least 175 and no more than 250 words, and 3 to 5 keywords. The coordinator must also provide the names of the principal presenters (lead authors only, NOT coauthors), their email addresses, and their institutional affiliations.

The abstract must not include information identifying the authors. If such information is included, the proposal will be disqualified, with no opportunity to resubmit it. Similarly, self-citations or references to identifiable ongoing projects will make the proposal ineligible for evaluation. To facilitate the assignment of panels to the Scientific Committee for evaluation, the coordinator must select the subject area most closely related to the panel from the list provided in the presentation registration form’s drop-down menu.

Once the panel has been registered, each lead author participating in the panel (including the coordinator, if they will also be presenting) must register their proposal through the presentation submission form (see the Guidelines for Oral Presentation Submissions), providing their personal information, the panel’s subject area (selected from a drop-down menu), and the name of the panel (also selected from a drop-down menu). Please note that a newly registered panel may take several hours to appear in the drop-down menu. Panelists should therefore allow sufficient time—up to one business day—before registering their presentations.

It is essential that all panelists know the exact title of their panel and the subject area selected by the coordinator during registration, since each panelist must provide this information when registering their presentation as part of the panel.

For panels consisting of four or five presenters, the Organizing Committee may, after the evaluation period has ended, ask the coordinators to include an additional presentation on the same topic, up to the maximum of six. Such presentations will be added only with the panel coordinators’ consent. This process will always be initiated by the Congress Organizing Committee, never by the authors of individual presentations.

ORAL PRESENTATIONS

INDIVIDUAL PRESENTATIONS (NOT associated with a registered panel) and PANEL PRESENTATIONS (associated with previously registered panels)

The lead author must register the proposal using the designated submission form, providing a title and an abstract of at least 175 and no more than 250 words, along with 3 to 5 keywords. The abstract must not include information identifying the authors. If such information is included, the proposal will be disqualified, with no opportunity to resubmit it. Likewise, self-citations or references to identifiable ongoing projects will make the proposal ineligible for evaluation.

Applicants must also select the subject area most closely related to their proposal from the drop-down list on the registration form. Those submitting presentations within a panel should confirm the subject area registered by their panel coordinator to ensure the selections match.

The coauthors of a presentation DO NOT need to register the presentation themselves, since this is done only by the lead author. They must simply pay their individual registration fees to be included in the Program, participate in the Congress, and receive the appropriate certificate.

Each individual presentation may last a maximum of 15 minutes. Exceptionally, for panels with fewer than six participants, the coordinator may allow a somewhat longer presentation, provided that the panel does not exceed two hours and sufficient time is reserved for discussion. Only one person, either an author or a coauthor, may deliver an oral presentation at the Congress. By default, the Organizing Committee will consider the person who registered the proposal to be its presenter. Any change must be communicated by email to the Congress Organizing Committee so that the Program can be prepared accurately.

Authors may use PowerPoint or other audiovisual presentation resources during the Congress.

The Congress Organizing Committee will arrange accepted individual presentations (those not associated with a panel) into thematic panels and may invite a panelist to serve as moderator. Those invited are under no obligation to accept and may decide according to their preferences.

AUDIOVISUAL WORKS

The author must register the proposal using the designated submission form, selecting the audiovisual category and providing a title and an abstract/SYNOPSIS of at least 175 and no more than 250 words, along with 3 to 5 keywords. Applicants must also select the subject area most closely related to their proposal from the drop-down list on the registration form.

The complete audiovisual work, ready for viewing, must be submitted within the evaluation deadlines established by the Organizing Committee. The file may be sent using standard file-transfer platforms (WeTransfer, etc.), with the details provided in an email to info.congreso@aibr.org

- The minimum length of an audiovisual work is 10 minutes, and the maximum length is 100 minutes. The exact running time must be stated in the abstract.

- Audiovisual works in any language will be accepted, provided that they include subtitles in at least Spanish.

- The author must upload the poster for the audiovisual work to their participant area and complete the Technical Information Form available in the audiovisual registration form.

POSTERS

The author must register the proposal using the submission form on the website, from their participant area, selecting the poster category and providing a title, an abstract of at least 175 and no more than 250 words, and 3 to 5 keywords. Applicants must also select the subject area most closely related to their proposal from the drop-down list on the registration form. No information identifying the authors may be included in these fields; otherwise, the proposal will be disqualified, with no opportunity to resubmit it.

When registering the proposal and submitting its abstract, the author must upload a PDF of the poster to their Congress submission area, without any information identifying its authorship.

Once the proposal has been accepted, the author’s details may be included for printing and subsequent display of the work during the Congress.

Posters displayed at the Congress must be DIN A1 size and may be presented in portrait or landscape orientation. Participants are responsible for printing and transporting their posters and must deliver them to the Congress Secretariat upon arrival. We recommend emphasizing visual material when presenting the work (with a suggested maximum of 800 words in the main body of the poster).

Accepted posters will be displayed throughout the Congress. Authors may set aside time to explain their research to interested participants. Poster authors will determine these times and indicate them on a note or card placed next to their work to inform attendees.

Authors must remove their posters at the end of the Congress. The Congress is not responsible for posters that are not collected.

If the 13th Congress must be held exclusively online, posters will be displayed and presented by their authors in virtual rooms.

WORKSHOPS

The author must register the proposal using the proposal submission form, from their participant area, selecting the Workshop category and providing a title and an abstract of at least 175 and no more than 250 words explaining the workshop’s content and objectives, together with a brief description of how it will be conducted.

When registering the Workshop, its director must also email info.congreso@aibr.org with the following information: in-person or online format; duration; minimum and maximum numbers of participants; requirements for conducting the activity (e.g., classroom furniture arrangement, audio equipment, computer, etc.); and the proposed method for managing Congress participants’ access and participation.

If the author expects the Workshop to last more than two hours, they must inform the Organizing Committee, which will consider whether it can be divided into two sessions.

BOOK PRESENTATIONS

The author must register the proposal using the proposal submission form, from their participant area, selecting the Book Presentation category. They must provide a title and an abstract of at least 175 and no more than 250 words. They must also attach a file (.jpeg or .pdf) of the book cover for promotion and inclusion in the Congress Program.

SPECIAL FORMATS

The author must register the proposal using the proposal submission form, from their participant area, selecting the Special Format category and providing a title and an abstract of at least 175 and no more than 250 words explaining the proposal’s content and objectives, together with a brief description of how it will be conducted.

When registering the Special Format, the author must also email info.congreso@aibr.org with the following information: in-person or online format; duration; minimum and maximum numbers of participants; requirements for conducting the activity (e.g., classroom furniture arrangement, audio equipment, computer, etc.); and the proposed method for managing Congress participants’ access and participation.

For additional information about Special Formats, please consult the “Special Formats” section of our Frequently Asked Questions.

Participation

General Requirements

AUTHORSHIP

Each proposal may have a maximum of 6 coauthors. However, only one person may present the work during the Congress. By default, the Organizing Committee assigns this role to the person who registered the proposal. Any change must be reported by email to the Congress Organizing Committee before MAY 20, 2027.

To be listed in the Program, receive a certificate of participation, and have their presentation abstract included in the ARIES Journal, all coauthors must register for the Congress.

The Organizing Committee does not certify legal authorship of submitted works; it will only record the names of the individuals who presented them and registered for the Congress.

If the lead author is unable to attend and present the work, neither a member of the Organizing Committee nor another panelist or audience member may present it on the author’s behalf. Only a coauthor who is registered for the Congress may present the work in place of the lead author, as only such a person, in addition to the author, would be able to discuss the study’s results.

Issuance of a certificate of participation in the Congress (whether for panels, individual presentations, posters, audiovisual works, book presentations, workshops, or special formats) is conditional upon an author or coauthor presenting the proposal during the Congress. Presentations delivered by individuals who are not authors or coauthors will not be accepted (and no presentation certificates will be issued in such cases).

PANEL COORDINATORS

Coordinating a panel involves inviting 4 to 6 speakers (the coordinator may or may not be one of them, but the total number of panelists may never exceed six), designing a coherent panel that functions as a whole, registering it, serving as a liaison between the panelists and the Organizing Committee, informing participants how to register their presentations, and being present throughout the panel to allocate speaking turns, monitor presentation times, and lead the discussion following the individual presentations. The corresponding certificate will be issued only if these requirements are met. In all cases, there will be only one coordinator per panel.

PANEL MODERATORS

Moderating a panel involves briefly introducing the panelists, assigning speaking turns, monitoring the duration of individual presentations, and leading the discussion after all presentations. The Organizing Committee will group submitted individual presentations into thematic panels and may invite a participant to serve as the panel moderator. Invitees are under no obligation to accept. Moderators will receive an official certificate.

LANGUAGES

Proposals may be submitted in the Congress’s official languages: Spanish, Portuguese, and English. Both fully registered panels and thematic panels assembled by the Organizing Committee from individual submissions may include presentations in any of these three languages. In this way, the AIBR Congress seeks to foster the multilingual dialogue that has been developing for years in Latin American anthropology. To facilitate discussion, however, the Organizing Committee will seek to group presentations in the same language within panels it assembles, although a panel may exceptionally include presentations in different languages.

EVALUATION

Proposals will undergo double-blind peer review by two members of the Scientific Committee. If their assessments differ substantially, a third review will be carried out by an independent expert reviewer.

For panels submitted to the Congress, all panelists must register their abstracts before the proposal submission deadline so that the entire panel can be forwarded to the Scientific Committee for evaluation. Panels are therefore evaluated as complete units.

SUBJECT AREAS

Research on a wide range of topics may be submitted, including individual presentations and complete panel proposals based on studies conducted from an anthropological perspective.

The proposal registration form includes a drop-down menu listing a broad range of subject areas in which to classify your work. This selection is important for assigning reviewers whose academic expertise matches your research area.

PROGRAM
  • Once the Scientific Committee has communicated acceptance of a proposal, those concerned must register for the Congress by MAY 20, 2027. After that deadline, proposals whose authors have not paid the registration fee will be removed from the Program. Registration will not be considered complete until all requested documentation has been submitted and payment has been made. Panels proposed by their coordinators will remain in the Program only if the authors of at least four presentations complete registration within the established deadline. Otherwise, the panel will be withdrawn from the Congress, and any accepted presentations whose authors have registered will be reassigned to other panels, at the discretion of the Organizing Committee and according to the relevant subject areas.
  • No author or coauthor will appear in the Program unless they have paid the registration fee for the 13th Congress and submitted any required documentation to the Organizing Committee by MAY 20, 2027.
  • When preparing the Congress Program, requests for specific presentation days or time slots WILL NOT be accepted.
